Have a guest who is expecting a package? Never lose track of a package again with our Packages log! Keep track of items expected to arrive at your hotel for a guest, or track items you have already received. The bottom line here is that your guests will be happy at how organized the package delivery and retrieval service is at your hotel.
Super simple to use, you can track incoming packages with a few clicks of the mouse. Here’s how:
Go to Menu > Guests and choose the Guest Items tab, as shown below. To begin tracking a new package, click on New Package:

Here is the screen you will see when adding a new package. You can add a package when it arrives, or beforehand, if a guest lets you know to expect the package:

Fields on this screen #
Package Status:
This is a required field that will allow you to choose whether the item is Pending (due to be shipped to you), Received, or Delivered to Guest.

Shipping Method:
This is a free-form field where you can add shipping information, such as the company who delivered the package.
Quantity
This is a free-form field where you can add the number of items received or expected.
Description
This is a free-form field where you can describe the package if you’d like.
Tracking number
This is a free-form field where you can add any tracking information you would like to add.
Guest name
This is a free-form field where you can add the name of the guest who is expecting the package.
Guest arrival date
This is a calendar field where you can add the expected or actual arrival date. This can be updated once the package(s) is received, if necessary.
Location stored
This is a free-form field where you can add the location where the item is stored at your property.
Receiving and Logging a Package #
When you have received a package, you will simply use the search function to locate the expected package, or if there is nothing on the log currently, you can create a new package arrival following the steps above.
Once you have located the proper package, click the pencil icon next to the ID number of that package:

Doing this will open up the log for that package and allow you to change fields, like the status of the package, or the location where it is being held for guest pickup.
Once you have made your changes, click Update Package:

What is the Package ID? #
The Package ID gives each package it’s own page in your electronic logbook. Clicking the ID link will take you to the page for the package where you can add notes and have discussions with other members of your team about the instructions for the package, perhaps make a note about incomplete deliveries, etc. Access the Package page by clicking on the ID number shown here:

Searching and Sorting your package log #
The Quick Search box at the top of the page allows you to enter keywords when searching the log. The keywords should be in one of these fields: Guest Name, tracking number, description contains.

Clicking on the blue “more” will give you even further options for limiting your search results, including adding the status and the guest arrival date:

**Sorting the Log **
If you know the Guest Name, Arrival Date, or the date the item was Created in the log, you can quickly sort the fields in these columns, which are shown in blue, by clicking on the label.
